OCCUPATIONAL HEALTH AND SAFETY

Work health and safety (WHS) – sometimes called occupational health and safety (OH&S) – involves the management of risks to the health and safety of everyone in your workplace. This includes the health and safety of anyone who does work for you as well as your customers, visitors and suppliers.

 

It may initially cost money and time to implement safe practices and install safety equipment but is critical to the success of your business. Not taking action could also result in prosecution, fines and loss of your skilled staff.

Benefits of WHS in your business

Creating a safe work environment is a legal requirement. It’s also critical to the long term success of your business and can:

    • help you keep your staff
    • improve staff productivity
    • reduce injury and illness in the workplace
    • reduce the costs of injury and workers’ compensation

Under Australian WHS laws your business must ensure the health and safety of your workers and not put the health and safety of other people at risk. To do this you must:

  • provide a safe work environment
  • provide and maintain safe machinery and structures
  • provide safe ways of working
  • ensure safe use, handling and storage of machinery, structures and substances
  • provide and maintain adequate facilities
  • provide any information, training, instruction or supervision needed for safety
  • monitor the health of workers and conditions at the workplace

Workers obligation

People working in your business have WHS obligations to themselves and others at work. They must:

 

  • take care of their own health and safety
  • take care not to do anything that could hurt others
  • follow WHS instructions
  • follow the workplace’s WHS policies and procedures

  • Cleaning toilets. Secure containers for sharps can help staff manage the rubbish and toilets cleaning.
  • Disposing clinical waste. Super star has prepared a special guide about waste where we give advice on how to handle clinical waste with sharps. Specialist hazardous waste companies collect and dispose of sharps bins routinely or by appointment. Therefore, if your company handles a lot of daily sharps disposal and clinical waste, it is best to use professional services.
  • Slippery floors. Floors often become wet after mopping. Staff should have a non-slip or grooved foot base to reduce slipping when wringing the mop.
  • Cluttered space. Businesses or facilities should be helpful to cleaning staff to make sure that cleaners can do their best job within their allocated time frame. This can involve uncluttering space before a scheduled cleaning.
  • Carrying equipment on stairs. Different industries reside in various types of premises. If stairs are involved – choose ergonomic machinery. For example, the caddy classic with telescopic pole allows for perfect working height. This makes manual handling of the hazard easier and a safer work task.
  • Vacuuming around fixtures and furnishings. This risk can also be eliminated entirely if the right vacuum cleaner accessories are bought from the beginning. Most high-quality commercial vacuum cleaners already have the full kit included.

    Subcontractor Agreement

    Dear Subcontractor,

    Thank you for providing your services to SSP Services Pty. Ltd. We value your collaboration and wish to confirm the terms and conditions of your engagement. Please review this agreement carefully and acknowledge your acceptance by signing below.

    1. General

    1. 1.1 Required Documentation

      As a subcontractor, you are required to submit the following documents:

      • Completed onboarding forms

      • A valid Working with Children Check

      • A copy of your passport

      • A police check issued within the past six (6) months

      • Evidence of your residency status (e.g., visa copy)

    2. 1.2 Contact Information

    3. 1.3 Payment Schedule

      Payments are processed on a fortnightly basis.

    4. 1.4 Invoicing Requirements

      To ensure timely payment:

      • Submit your invoice before the end of each fortnight

      • Late submissions may result in delayed payments

      Invoices must include:

      • Invoice date and number

      • Site or facility location

      • Total hours worked

      • ABN

      • Bank account details

    5. 1.5 Confidentiality and Client Communication

      You agree not to contact, approach, or engage with any client of SSP Services Pty. Ltd. directly, unless you have prior written approval.

    2. Working Agreements

    1. 2.1 Attendance and Communication

      Notify your supervisor at least 4 hours before your shift if you are unable to attend. If you will be late or need to leave early, inform your supervisor in advance. Failure to notify may result in payment deductions. All instructions must be followed only if issued by authorised SSP personnel.

    2. 2.2 Shift Coverage

      You are solely responsible for your assigned shifts. Do not send a replacement without supervisor approval — doing so may lead to immediate termination and non-payment for the day.

    3. 2.3 Resignation Notice

      A minimum of two (2) weeks’ notice is required for resignation. Failure to provide adequate notice may result in a one-week deduction in final payment.

    4. 2.4 PPE Requirements

      You must wear the appropriate personal protective equipment (PPE) — including gloves and face masks — while on duty.

    5. 2.5 Rehire Restriction

      After termination or resignation, you agree not to reapply or subcontract with SSP Services Pty. Ltd. or its affiliates for a period of six (6) months.

    3. Responsibilities and Duties

    1. 3.1 Commitment

      You agree to perform your duties diligently, professionally, and in the best interests of SSP Services Pty. Ltd.

    2. 3.2 Reputation

      Maintain the company’s professional reputation at all times.

    3. 3.3 Legal Compliance

      Follow all lawful and reasonable directions and comply with applicable workplace laws and regulations.

    4. 3.4 Conflict of Interest

      Avoid any real or perceived conflicts of interest while working with SSP.

    5. 3.5 Site Security and Cleanliness

      Before leaving a site, ensure:

      • All doors, windows, and gates are locked

      • Taps, lights, and appliances are turned off

      • Alarms are activated or deactivated as instructed

      • Your work does not interfere with or damage facility occupants, equipment, plants, or other property

    6. 3.6 Incident Reporting

      Report any safety issues or incidents immediately to:

      • Your Site or Area Supervisor

      • Client Relationship Manager

      • After-hours SSP contact

    4. Non-Disparagement and Post-Engagement Restrictions

    1. 4.1 Non-Disparagement

      You must not, during or after your engagement, make any defamatory, false, or negative comments about SSP Services Pty. Ltd., its staff, contractors, clients, or business operations — whether written, verbal, or online. Breaching this clause may result in legal action.

    2. 4.2 Client Solicitation Restriction

      For 24 months after your engagement ends (by resignation, termination, or otherwise), you agree:

      • Not to work with, solicit, or accept offers from any SSP client with whom you had direct or indirect contact

      • Not to attempt to take over or divert any contracts or clients of SSP, either individually or through another business

    3. 4.3 Conflict of Interest

      Continue to avoid real or perceived conflicts of interest after your engagement ends.

    4. 4.4 Post-Engagement Site Conduct

      All site procedures regarding security and cleanliness, as previously outlined, must still

      As part of our commitment to maintaining a safe, productive, and professional work environment, we require all subcontractors and staff to follow the guidelines outlined below. Your cooperation is essential to ensure the safety and well-being of all individuals on-site and to support smooth and effective operations.


      1. Proper Attire:

      All personnel must wear either a uniform or high-visibility (hi-vis) jacket while on-site to ensure safety and easy identification.


      2. Timekeeping and Pay:

      Punctuality is critical. Failure to record your shift start and end times using the designated app may result in delayed or missed payments.


      3. Shift Recording:

      It is mandatory to accurately log your shift start and end times via the official time-tracking app. This ensures transparency in hours worked and payment processing.


      4. Break Notification:

      Please inform your supervisor before taking any breaks to maintain coordination and workflow efficiency.


      5. Restricted Devices:

      Mobile phones, AirPods, hands-free devices, and tablets must not be used during work hours unless in an emergency or for authorised work purposes.


      6. Safety Gear:

      Proper attire, including closed-toe shoes, work pants, and personal protective equipment (PPE) such as gloves and masks, must be worn at all times during duties.


      7. Equipment Checks:

      Before use, inspect all electrical equipment (e.g., vacuums) to ensure it is functional and properly tagged. Report any defects to your supervisor immediately.


      8. Chemical Usage:

      Use only approved cleaning chemicals and strictly follow dilution guidelines. If unsure, consult your supervisor before use.


      9. Equipment Maintenance:

      After each use, clean and properly store all equipment and supplies to maintain a safe, hygienic, and organised work area.


      10. Damage Reporting:

      Immediately report any damage to property, equipment, or goods to your supervisor to allow for prompt resolution.


      11. Documentation of Concerns:

      If you have any concerns, complaints, or special requests, take photos (if applicable) and email them to your supervisor on the same day.


      12. Leave Notifications:

      • Sick Leave: Requires at least one day’s notice before your scheduled shift, unless you are critically injured or hospitalised.

      • Annual Leave: Must be requested at least 7 days in advance. This applies to all forms of planned or personal leave.


      ⚠️ Failure to comply with these guidelines may result in immediate removal from the site without pay.

      Important Guidelines for Invoices, Payroll, and Leave

      Dear Valued Vendor,


      To ensure smooth operations and compliance with our internal processes, please carefully review and adhere to the following guidelines:


      1. Invoice Accuracy:

      All invoices must be 100% accurate. Errors in submitted invoices cause unnecessary delays and may affect payment timelines.


      2. Accounting and Admin Resources:

      Due to recent repeated errors caused by incorrect submissions, we have had to allocate additional staff hours to rectify such issues. This is not sustainable. Please ensure your invoices are completed with care and precision to avoid further disruptions.


      3. Timely Submission of Invoices:

      Invoices must be submitted promptly after the end of each pay cycle. Late submissions will result in delayed payments.


      4. Work Hours and Payroll Cut-Off:

      For subcontractors and staff working any day between Monday to Sunday (including weekend-only shifts), the cut-off for submitting hours is the following Monday at 12:00 midnight.

      • Payments for this group will be processed on Friday of the same week.


      5. Advance Notice for Leave:

      All leave requests — including personal, sick, or annual — must be submitted at least 7 days in advance wherever possible. This allows us to manage scheduling effectively.


      6. Department-Specific Inquiries:

      For issues related to:

      • Pay or payroll processing, contact the Accounts Department.

      • Leave and scheduling, contact your Supervisor or Site Coordinator.

      This ensures your concerns are directed and resolved by the right team.
